Privacy Policy

This Privacy Policy explains how AivaFleet collects, uses, shares, retains, and protects information when you use the AivaFleet Subscriber app, AivaFleet Driver app, AivaFleet website, dashboard, and related fleet-management services.

1. Scope and who we are

AivaFleet ("AivaFleet," "we," "our," or "us") provides fleet-management, vehicle-tracking, driver-management, delivery, telematics, safety, maintenance, reporting, and related services.

This policy applies to the following Android applications and services:

  • AivaFleet Subscriber — used by individual subscribers and authorized users to monitor connected vehicles, trips, alerts, and related fleet information.
  • AivaFleet Driver — used by authorized drivers to receive assignments, manage trips or delivery tasks, update statuses, and share location where required for active fleet operations.
  • The AivaFleet website, web dashboard, APIs, connected tracking devices, sensors, support services, and other related services (collectively, the "Services").

In some cases, AivaFleet processes information on behalf of a company, fleet owner, employer, or account administrator. That organization may separately determine why and how certain driver, vehicle, trip, or workforce information is processed.

2. Information we collect

2.1 Information you or your organization provides

  • Account and profile information, such as name, email address, phone number, username, company, role, driver identifier, and account credentials.
  • Vehicle, fleet, driver, warehouse, route, trip, task, delivery, and customer-reference information entered into the Services.
  • Messages, support requests, demo requests, feedback, and other communications sent to us.
  • Files, photographs, documents, notes, or proof-of-task information only when you choose to submit them through an available feature.

2.2 Location, trip, and telematics information

  • Precise or approximate GPS location, routes, stops, trip history, timestamps, distance, speed, direction, and geofence events.
  • Vehicle and sensor information, such as ignition state, odometer, engine hours, fuel level, temperature, diagnostics, axle or weight readings, maintenance events, and driving behavior where supported by installed equipment.
  • Location and telemetry may come from the mobile device, a vehicle-mounted GPS or IoT device, connected sensors, or your organization's fleet account.

2.3 App, device, and technical information

  • Device model, operating system, app version, language, time zone, IP address, network information, and device or app identifiers permitted by the operating system.
  • Push-notification tokens used to deliver trip, task, safety, maintenance, and service notifications.
  • App activity, feature usage, crash logs, diagnostics, performance data, and security logs.

3. App-specific location practices

AivaFleet Subscriber

The Subscriber app may display the current or historical location of vehicles connected to the subscriber's authorized account. This location may be generated by a vehicle tracking device or another authorized source. The app may also request the mobile device's location when a location-based feature requires it, such as showing the user's position relative to an authorized vehicle.

AivaFleet Driver

The Driver app may collect and transmit location while a driver is using an assigned trip, route, delivery, safety, dispatch, or tracking feature. Where enabled and permitted, location may be collected in the background during an active assignment so fleet operators can monitor trip progress, dispatch work, maintain trip history, support safety, and confirm task completion.

We do not use precise or background location solely for advertising. When required, the Driver app will show a prominent in-app disclosure and request permission before collecting location. Users may control permissions through Android settings, although disabling required permissions may prevent core tracking or trip features from working correctly.

4. How we use information

We use information to:

  • Provide, authenticate, operate, and maintain the Services.
  • Display vehicle locations, assigned trips, routes, tasks, delivery statuses, driver activity, alerts, and reports.
  • Support dispatching, navigation, trip verification, safety, maintenance, analytics, and operational decision-making.
  • Send account, security, trip, task, maintenance, and service-related notifications.
  • Diagnose errors, monitor performance, prevent misuse, secure accounts, and improve the Services.
  • Provide customer support and respond to inquiries or requests.
  • Comply with contracts, legal obligations, valid governmental requests, and applicable regulations.

5. How we share information

We do not sell personal or sensitive user data. We may share information only as described below:

  • Authorized organizations and users: fleet owners, employers, account administrators, dispatchers, managers, or other authorized users may access information associated with their fleet account.
  • Service providers: cloud hosting, databases, mapping and routing, push notifications, analytics, crash reporting, communications, security, and technical-support providers may process data for us under appropriate contractual and security obligations.
  • Connected-service providers: vehicle-device, telematics, sensor, or integration providers may exchange data with AivaFleet when required to provide a requested integration.
  • Legal and safety reasons: we may disclose information when reasonably necessary to comply with law, protect rights and safety, investigate fraud or misuse, or respond to a valid legal request.
  • Business transfers: information may be transferred in connection with a merger, financing, reorganization, acquisition, or sale of assets, subject to appropriate safeguards and notice where required.

6. Legal bases and user consent

Depending on the jurisdiction and context, we process information to perform a contract, provide requested Services, comply with legal obligations, protect legitimate business and security interests, or based on consent.

Android runtime permissions and any required prominent in-app disclosure will be presented before accessing sensitive device data when applicable. A privacy policy does not replace any separate in-app disclosure or consent required by law or platform policy.

7. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted transmission, access controls, authentication, logging, backups, monitoring, and restricted access based on business need.

No internet transmission or storage system is completely secure. Users and organizations are responsible for protecting account credentials and limiting access to authorized personnel.

8. Data retention

We retain information for as long as reasonably necessary to provide the Services, maintain fleet and trip records, satisfy contractual requirements, resolve disputes, prevent fraud, enforce agreements, and comply with applicable legal or regulatory obligations.

Retention periods may vary by data type, account configuration, customer contract, and legal requirement. When information is no longer required, we take reasonable steps to delete, anonymize, or securely isolate it.

9. Account and data deletion

Users may request deletion of an AivaFleet account and associated personal data through the in-app account controls where available or through our external account-deletion page:

Driver accounts created or managed by an employer or fleet organization may require verification or coordination with that organization. Deleting an account does not require us to delete information that must be retained for security, fraud prevention, contractual, employment, tax, legal, or regulatory reasons. Where retention is required, the information will be limited to the permitted purpose and retained only as necessary.

10. Your rights and choices

Subject to applicable law and verification, you may have the right to request access, correction, deletion, restriction, objection, or a copy of personal information associated with you. You may also withdraw consent where processing is based on consent.

You can manage mobile permissions in Android settings and notification preferences in the app or device settings. Some permissions are necessary for core app functions.

11. International data processing

AivaFleet and its service providers may process information in countries other than the country where the user is located. Where required, we use appropriate contractual, technical, and organizational safeguards for international transfers.

12. Children's privacy

The Services are intended for businesses, authorized drivers, vehicle owners, and adult subscribers. They are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information, contact us so we can review and take appropriate action.

13. Third-party links and services

The Services may contain links to or integrations with third-party websites, maps, devices, or services. Their privacy practices are governed by their own notices. We encourage users to review those notices before using a third-party service.

14. Changes to this policy

We may update this Privacy Policy to reflect changes in our Services, technology, legal requirements, or data practices. We will publish the updated version on this page and revise the "Last updated" date. Where required, we will provide additional notice or obtain consent.
